EasyWDA

For UK WDA(H) holders and their Responsible Persons

Run your wholesale dealer’s licence on one inspection-ready system

EasyWDA records stock from goods-in to dispatch, holds back anything that shouldn’t ship, and keeps every compliance record the EU/UK Good Distribution Practice (GDP) guidelines expect. When the MHRA inspector asks, the evidence is already there.

  • Built around the GDP guidelines (2013/C 343/01)
  • Immutable audit trail
  • Nightly backups, including to your own cloud storage

Everything an inspection looks at

Each module maps to a part of the GDP guidelines, so your quality system and your day-to-day work are the same thing.

Stock traceability

Goods-in and dispatch recorded by batch and expiry. Stock is allocated first-expiry-first-out (FEFO), and any batch can be traced from receipt to customer.

GDP ch. 5

Expiry and shelf-life control

Expired stock is quarantined automatically overnight, and nothing ships below your minimum remaining shelf life.

GDP 5.9

Quarantine and segregation

Suspect stock goes on an electronic hold straight away; falsified, expired and recalled stock must also move to a physical quarantine area.

GDP 3.2, 5.5

Customer and supplier qualification

Due diligence with licence checks, ID documents and persons of significant control. Unqualified partners are blocked from trading.

GDP 5.2, 5.3

Temperature monitoring

Readings checked against each location’s range. An excursion opens a deviation and flags the batches that may be affected.

GDP 3.2.1

Controlled drugs

A register with running balances per drug, and witnessed destruction entries.

Misuse of Drugs Regs

Deviations, CAPA and change control

Log deviations, track corrective actions to closure, and record approved changes with their impact assessment.

GDP 1.4, 1.5

Returns, recalls and falsified medicines

Assess returns before they go back to stock, run recalls with reconciliation, and report suspected falsified medicines.

GDP ch. 6

Training and competence

Build your own courses, quizzes and SOP read-and-sign with password e-signatures. Untrained staff can be warned or blocked.

GDP 2.4

Documents, equipment and self-inspection

Version-controlled SOPs, an equipment and calibration register with due-date warnings, and scheduled self-inspections.

GDP ch. 4, 3.3, 8

Audit trail and backups

Every change to a GDP record is logged with who, when and why. Nightly backups are checked weekly and can also go to your own Google Drive.

GDP 3.3.1, 4.2

Sales and partner portal

Enquiries, quotes, orders and invoices with overdue reminders. Customers and suppliers get their own portal for due diligence and orders.

Stock only moves when it’s allowed to

Every batch follows the same controlled path. Anything suspect is stopped automatically and waits for the Responsible Person.

1Goods inSupplier qualified, batch and expiry recorded, temperature checked
2ReleaseResponsible Person releases the batch to saleable stock
3SaleableAllocated FEFO, only to qualified customers, above minimum shelf life
4DispatchDelivery note with batch and expiry, traceable to the customer
Something wrong? Damaged, returned or suspect stock goes on an electronic hold at once. Expired, falsified or recalled stock must also be moved to a physical quarantine area, until the RP decides.
